First Aid Support Platform for Workplace Safety Compliance

Context & Challenge

In 2019, I led the delivery of a mobile and web-based inventory management platform for first aid supplies, built for clients operating under Ontario’s Regulation 1101. Before this, most organizations used spreadsheets or paper-based workflows, resulting in missed expiration alerts, inconsistent compliance, and fragmented procurement.

The goal was to create a lightweight, intuitive platform that helped safety officers stay compliant, maintain workplace readiness, and streamline procurement, without adding complexity.

Discovery & Strategy

We began by interviewing frontline users, safety officers, and compliance managers to map out their current workflows and pinpoint friction areas. The top issues:

  • Manual tracking of expiration dates

  • No central visibility across sites

  • Delays in reordering critical items

Using these insights, we built a prioritized backlog focused on MVP essentials. I worked closely with design and engineering to shape the initial roadmap and gain buy-in from stakeholders.

Key MVP Features & Tools

  • Real-Time Inventory Tracking: Live sync of stock levels and expiry dates across locations

  • Automated Reorder Alerts: Triggered procurement workflows for low supplies

  • Multi-Platform Access: On-site functionality (mobile) + reporting and analytics (web)

Tools Used:

  • Adobe XD: UI/UX design and prototyping

  • Jira: Sprint planning and backlog management

  • Firebase: Real-time data architecture across mobile and web

Agile Delivery & Team Collaboration

We executed the project across multiple two-week sprints, with each sprint focusing on delivery, feedback, and backlog refinement. I facilitated:

  • Sprint ceremonies (planning, stand-ups, reviews, retrospectives)

  • Cross-functional syncs across product, engineering, QA, and compliance leads

  • Beta testing loops with early users to validate workflows and UX intuitiveness

We continuously optimized the backlog as user feedback came in, especially around feature prioritization, sync reliability, and notification sensitivity.

Challenges & What We Learned

  • Driving Adoption: Non-technical users required a softer UX approach; we introduced icon-based flows and walkthrough prompts.

  • Managing Scope Creep: As users saw the product evolve, they proposed new workflows; backlog grooming and stakeholder check-ins helped contain scope without stalling momentum.

  • Cross-Platform Consistency: Syncing inventory data across mobile and web required deeper QA cycles, which we addressed via enhanced test coverage and sprint-aligned bug resolution.

Outcome & Results

The platform was successfully rolled out across multiple client sites and delivered measurable improvements:

  • Cut inventory audit time by 40%, freeing safety officers to focus on higher-risk areas

  • Enabled compliance with Ontario Regulation 1101 through structured alerts and expiration tracking

  • Delivered an MVP in <12 weeks that supported future iterations and client expansion

This project reflected the power of user-informed Agile delivery, especially in regulated, high-compliance environments. We translated scattered paper systems into a scalable, digital workflow, improving safety outcomes while reducing operational overhead.
